How to create a Mailbots mailbox?

In this article you will learn how to create a Mailbots mailbox within the platform.


Creating a Mailbot mailbox consists of 4 steps.

To do so, it is important to have already created the professional Mailbox. It is necessary to have a professional email account. Mailboxes from free servers, such as those ending in @gmail.com and @hotmail.com and their variants, cannot be created.

To create an inbox, click on “+ New Inbox”


Paso 1: Proveedor de mail.


Select your email provider to proceed to the next step.


Important: In case you have already managed Mails within the Botmaker platform, you have the option to select the box that you have already connected.


Step 2: Data.


Enter the email address and password for the account. Fill in the sender name, which will be the name that users who receive the email will see.


In the “Configure which email aliases will be received in the inbox” checkbox, you can choose which Aliases to add to the bot.


What is an alias?


An email alias is a forwarding address, meaning that all emails sent to the alias will be forwarded to the account(s) indicated. The alias must be created with the mail provider beforehand, here it will only be integrated to add the emails that arrive to that alias.


Step 3: Mailbox settings.


In this step, the configuration of the general box is done. Name of the bot, language and who will attend this box.

It is important to distinguish whether it will be attended by an Agent or a Team. This selection will allow the box to have different configurations.


Box attended by an agent: It will be assigned to an agent who is part of the team. It cannot be attended by other agents, unless a specific configuration is made. In this step, you can select which agent the account corresponds to.


Mailbox attended by a team: It will be assigned to a service queue. It can be attended by several agents. In this step you can select which service team corresponds to the account.


Step 4: Objective and tone.



In this step, the generative bot is configured. The generative bot is applied to the blocks that use Generative Artificial Intelligence, such as “Generative mail response”.

The configurations made in this step will determine the main characteristics that the Artificial Intelligence will have to generate responses.


Bot objective: This is the space to explain the bot's objective. For example: “You are Sol's Mail bot. You are responsible for answering emails sent by customers about queries and managing the store's schedules”.


General conversation preferences: These are different checkboxes that allow you to provide more information to the Artificial Intelligence instruction. For example, if you click “Do not talk about religion or politics” regardless of what the end user requests, the bot will not generate responses that involve religion or politics.


Tone: The tone provides the possibility of choosing how formally, seriously or in a style of communication the Artificial Intelligence generates the responses. These are sliders that allow you to choose whether it is “more formal or more casual,” “more serious or funnier,” and “more academic or simpler.” If the slider is in the middle, it does not provide any particular indication about that to the Artificial Intelligence.


Finally, click on “Create bot” to complete the mailbox creation process.
