Best practices for using content bases
In this article, you’ll learn best practices for using content bases and choosing the most suitable format for each case.
Managing content bases allows for faster uploads and more accurate bot responses using the available data. The quality and structure of the information directly influence the AI’s accuracy.

Allowed formats
- PDFs
- DOCS
- TXT
- XLS
- Web pages
- JSON
- Markdown
Maximum file size: 30 MB
General recommendations for content bases
- Organize files by topic (e.g., User_Manual.pdf, Products.xlsx).
- Prioritize files with text (text within images will not be read).
- For large tables or structured lists, use XLS/XLSX files with clear headers.
- For documents, prefer PDF/DOC/TXT with a maximum of 150 pages and avoid long text blocks.
- Text inside images: The AI does not read it. Always use plain text.
- Complex tables: Prefer XLS/XLSX; avoid merged cells or complex formulas.
- Websites: Reading capability depends on their development and internal organization (HTML, tags, accessibility, etc.).
Recommended format and structure:
- Title (Level 1): Required; identifies the topic.
- Subtitle (Level 2): Optional; adds detail.
- Detailed content: Use short paragraphs and bullet points for better visual clarity.
- Divide material by main topics: Product manual, Rules, Processes, FAQs.
- Use descriptive and standardized file names.
